Notice to parents and guardians

Your child’s school uses Skooltym Access to record attendance and to text you when your child arrives and leaves. This page explains what that means, in plain terms, before you give consent.

1What happens

Your child is enrolled once, at the start. A gate terminal records their face, fingerprint or card. From then on, each time they pass the terminal at the start and end of the school day, the system records the time and sends you a text message.

You will receive a message when your child clocks in, when they clock out, and if they have not clocked in at all by the time the school runs its absence check.

2What is stored about your child

The system stores your child’s name, student number, class and stream, their attendance times, and a biometric template — a set of numbers describing their face or fingerprint. It is not a photograph, and it cannot be turned back into one. It is used for one thing: recognising your child at the gate.

Your phone number is stored so the messages can reach you. Nothing about your child is sold, advertised against, shared with other schools, or used to train any technology.

The text message is a convenience, not a guarantee of your child’s safety.

Messages travel over the mobile network. They can be delayed, or fail to arrive — if your phone is off, out of coverage, out of airtime, or if the network is congested. If you do not receive a message, that does not mean anything has happened to your child. It may simply mean the message did not get through.

Equally, a message saying your child clocked in confirms that they were recognised at the gate at that time. It does not confirm where they are now. If you are ever worried about your child, call the school.

4You can say no

You do not have to agree to biometric enrolment. If you would rather your child was not recognised by face or fingerprint, tell the school and they will issue an RFID card instead. Your child will be treated exactly the same, will be recorded the same way, and you will receive the same messages.

A school may not refuse your child admission, lessons, examinations or any other service because you declined biometric enrolment.

5You can change your mind

Write to the school at any time and ask for your child’s biometric data to be deleted. It will be removed from the system and from every gate terminal within [7] days, and your child will be moved to a card. The attendance dates already recorded stay in the school’s register, because they are part of the school’s records — but they will no longer be linked to any biometric data.

6What else you can ask for

  • To see what the school holds about your child.
  • To have anything inaccurate corrected — a wrong phone number, a wrong class.
  • To have data deleted where the school has no lawful reason to keep it.
  • To stop receiving messages, or to change the number they go to.

Send these requests to your child’s school. The school holds the records and makes these decisions; Malticard runs the system on the school’s behalf. If the school does not respond, you may write to us at [dpo@malticard.com], and you may complain to Uganda’s Personal Data Protection Office.

7When data is deleted

When your child leaves the school, their biometric data is deleted within [30] days. Their attendance history is kept by the school for as long as the school needs it — by default [7] years — so that it can be produced if it is ever needed.
